What is a quotation?
A quotation (or quote) is a written offer that tells a customer exactly what you will do for them and how much it will cost. It protects both sides: the customer knows the price upfront, and you have proof of what was agreed before work starts.
What every quotation should include
- Your business name, phone number and address.
- The customer’s name and contact details.
- A quotation number and the date it was issued.
- A validity period — for example, prices valid for 15 days.
- An itemised list: each item or service with quantity and rate.
- The total in rupees, and whether tax is included.
- Payment terms and timeline — for example, 50% advance, balance on delivery.
How to write one, step by step
List every item separately with its rate so the customer can see where the money goes. Number your quotations (QT-001, QT-002) so you can track them. State when the price expires and how payment should be made — bank transfer, JazzCash or Easypaisa. Send the quotation as a PDF so it cannot be edited, and keep a copy for your records.
Tips for winning more work
- Send the quotation fast — the first reasonable quote often wins the job.
- Keep your rates consistent so repeat customers trust your pricing.
- Follow up after two or three days if you hear nothing back.
